Registered Nurse (RN) — White Plains, NY

Responsibilities and Duties

  • Assist our team to coordinate and execute the successful setup of a new office, including but not limited to: setting up workstations, ensuring compliance with Latitude standards, organizing office layout for optimal workflow, and assist in managing clinical resources and supplies.
  • Obtaining vital signs, placing allergy skin tests, administering injections, overseeing oral food challenges, preparing oral immunotherapy doses, assisting with emergency care, and providing patient education.
  • Performing blood draws for both pediatric and adult patients.
  • Proactive patient care including monitoring and responding to patient calls, messages, dose management, and EMR messages.
  • Administrative responsibilities include ordering labs, obtaining insurance approvals, scheduling, data entry, ordering medications and restocking clinical supplies.
  • After hours emergency patient hot-line management (on rotation).
  • This position starts in January 2025

Role

We are looking to hire an energetic and self-driven office administrator to create and implement an unforgettable patient experience. You will run the day to day operations in your clinic, as the first point of contact for our patients. This position is ideal for an individual who enjoys working in a fast-paced environment, where multi-tasking skills are key.

Responsibilities 

Patient Leadership:

• Greet and assist patients and visitors with a warm, empathetic, and friendly demeanor.
• Schedule appointments, answer inquiries, and provide information about our services.
• Efficiently handle patient check-in and check-out processes. Verify insurance information, collect co-pays or payments, and provide necessary forms.
• Answer phone calls and respond to emails promptly and professionally. Relay messages to the appropriate staff members and manage voicemail.
• Handle patient concerns and complaints effectively, escalating issues to management when necessary. Strive to resolve problems in a timely and compassionate manner.
• Serve as a dedicated advocate and provide professional guidance to patients and their families as they navigate the complexities of managing food allergies, ensuring a path to a successful outcome.

Data Management.

• Enter data accurately in our EMR systems (AdvancedMD) and CRM (Salesforce).
• Maintain and update patient records accurately and securely. Ensure compliance with privacy regulations (HIPAA) and maintain confidentiality.
• Efficiently manage, organize, and prepare medical records to facilitate seamless claims submission and ensure continuity of care for referring providers.

Office Management:

• Keep the reception area clean and organized. Monitor, order and restock office inventory as needed.
• Adhere to company policies, procedures, and protocols to maintain a high standard of patient care and safety.
• Team Collaboration:
• Collaborate with healthcare providers and staff to ensure seamless patient care coordination. Communicate any relevant patient information to the clinical team.
• Support our revenue cycle team with submitting claims, and resolving billing inquiries.

 

Qualifications

• Able to carry out all responsibilities in an honest, ethical & professional manner and demonstrate good judgment
• Self-motivated, with a hands-on style and strong work ethic
• Strong written communication skills including grammar, spelling, and punctuation
• Organized and detail-oriented, able to work well under deadlines in a fast growing healthcare practice
• Able to sit, stand and walk for extensive periods of time
• Able to work in our Westchester clinic, and other New York locations.

Education and Experience

• Requires a high school diploma or GED
• 1 year of experience working in a healthcare practice in a similar role
• Familiarity with medical computer software (EMR) and data entry
• Microsoft Office: 1 year (Preferred)
• Administrative experience: 1 year (Required)

San Francisco

Patient Experience Specialist — Redwood City, CA

Role

In this onsite role, you’ll play a vital part in supporting our patients and ensuring a smooth clinic experience. While your primary responsibilities will focus on answering calls and emails from existing patients, you’ll also assist with in-person patient interactions. As part of the clinic team, you’ll help manage clinic flow and provide support during busy times, ensuring all patients receive excellent service both over the phone and in person.

Responsibilities 

  • Patient Scheduling: Schedule follow-up appointments for existing patients according to scheduling templates in our EMR systems (EPIC, AdvancedMD).
  • Telemedicine Coordination: Support remote providers with follow-up scheduling.
  • Clinic Support: Collaborate with the clinic’s admin and clinical teams to manage patient flow in-office, especially during peak times, ensuring seamless transitions for patients during their visits.
  • Patient Communication: Respond to patient calls, voicemails, and emails related to scheduling and ensure inquiries are addressed promptly.
  • Triage and Coordination: Direct inbound calls to appropriate departments, such as billing or clinical inquiries, and coordinate with teams when patients arrive late or need special assistance.
  • Reactivation Management: Oversee the Latitude “Reactivation List” to reconnect patients with care.
  • Onsite Administrative Coverage: Provide administrative support for any coverage needs across CA locations.

Qualifications

  • Familiarity with medical terminology, diagnostic tests, consultations, and procedures
  • Experience with EMR systems (Epic and/or AdvancedMD preferred)
  • CRM systems experience (Salesforce familiarity is a plus)
  • Strong multitasking ability across multiple computer systems
  • Effective communication skills and a positive, welcoming attitude
  • Able to work collaboratively with colleagues across markets and in person with patients

Education and Experience

  • High school diploma or GED
  • Minimum 1 year of patient scheduling experience
